ABOUT MEDIA CO-OP

media co-op is an award-winning creative agency making videos, animations, and other digital resources for the third and public sector organisations for over 20 years. 

Since we started in 2004, we’ve only worked with charities, social enterprises, co-operatives, and the public sector, because we believe in storytelling for social good. Previous clients include Rape Crisis Scotland, Scottish Government, the University of Glasgow, Samaritans, and Sight Scotland. We’re a not-for-profit social enterprise that puts sustainability, social justice, and co-production at the heart of all we do. 

We’re also a workers’ co-op, meaning the employees own the business. By joining the team, you also have the opportunity to become an equal co-owner of the company.

We’re based in a shared office in central Glasgow, just off Gallowgate, and support a hybrid working.

THE ROLE

We are seeking a proactive and highly organised Studio and Production Manager to provide support to our small-but-mighty team. 

You will handle Production Management tasks, such as liaising with clients, generating schedules and budgets, booking travel and accommodation, contracting freelancers, and managing cost reports on finished projects.

You will be looking after the day-to-day running of the studio, including organising meetings, filing invoices, and covering incoming enquiries. 

This role is NOT a Creative Producer role: we’re looking for someone with client-facing experience who likes managing multiple projects from behind the scenes. Our ideal candidate has previous experience working in a busy studio in an administrative role.

Responsibilities

Production Management

– Liaising with clients throughout projects
– Generating production budgets and schedules
– Booking and contracting freelancers
– Booking and contracting recording studios, facilities, kit, locations, accommodation, travel etc
– Organising paperwork for shoots, including call sheets, risk assessments, and insurance declarations
– Checking all paperwork is compliant with legal requirements and health and safety
– Ensuring all production paperwork is complete, in order and filed correctly in the project folder at the end of each production
– Working closely with our Finance Manager to make sure there is clear and transparent accounting for all projects and that all freelance and staff contracts and payments are in order, and legal and fiscal obligations met
– Working with our Finance Manager to produce a cost report for each project, by generation of accurate cash flow reports and company accounts through accurate cost reporting

Company Administration and Finance 

– Working closely with our Finance Manager on financial reporting
– Keeping Project Registers up to date
– Booking and hosting enquiry meetings with clients
– Maintaining an overview of projects and team capacity.
– Taking an active part in weekly team meetings and project meetings
– Organising external or internal meetings, including booking rooms
– Actively supporting the team with company marketing and promotion activities, networking and events organisation
– Ideally, supporting our marketing by posting on our social media accounts  

Essential Requirements

– Three years’ administration experience, ideally in a fast-moving agency, studio, or production company environment.
– Highly organised and proactive; self-reliant, confident and with a flexible approach to work.
– Experience working in a client-facing role; or proof of confidence and personability in another capacity.
– Experience of working in a small team
– Strong proficiency with relevant software packages, including Excel, SAGE, Microsoft Office, Google Suite, Pages, Zoom, and Slack.
– Able to work independently and prioritise multiple tasks with strict deadlines.
– Enjoys the challenge of making things run more smoothly and effectively.
– Friendly and approachable manner.

Desirable

– Confident participating in networking events, willing to learn how to represent media co-op and speak about our work
– Interest and experience in company management and HR
– Interest and experience in social justice campaigns
– Interest in co-operative working

– Salary of £28,500 – all workers at media co-op are on the same salary, as part of our commitment to equality.

– 4 day work week (32 hours between Monday – Thursday)
